When sending interoffice mail please use box numbers as shown on the main Mail Services page.
All interoffice mail must be placed in the brown interoffice envelopes to prevent it from being mixed in with the regular mail and accidentally metered as First-Class. Whenever there are certain pieces of mail, such as invitations, which you may wish to mail in special envelopes, please group the special mail together, and clearly mark it with a note as interoffice mail. If you only have a couple of pieces of mail in special envelopes, then place them inside the larger interoffice envelope, and place a note on the interoffice envelope stating "interoffice mail inside." By utilizing interoffice envelopes, you will help save postage dollars.
Interoffice Delivery Service: A weekly delivery is made to College Houses. Interoffice mail service is also available to York Educational Federal Credit Union. The Credit Union picks up mail twice a week at the College. If you have mail for the Credit Union, please place it in an interoffice envelope and use the following address: Credit Union c/o Human Resources.
Interoffice Mail Procedures:
- All interoffice mail must be enclosed in interoffice envelopes. Mail Services will no longer accept notes, flyers, etc. folded and stapled shut. Any items folded or stapled shut will be returned to sender.
- If the document is flat and open, official College business, it will be accepted without an interoffice envelope.
- All materials for mailing must relate specifically to official College business. For example, we will no longer accept material from credit card companies and other outside vendors.
- The Mail Services Manager will review all memorandums before they are released. If any document is questionable, the Mail Services Manager will verify information with the author.
- Interoffice mail not in compliance with these procedures will be returned to sender for necessary adjustments.
INTEROFFICE MEMOS
When sending interoffice memos, address the memo to the proper group of employees. For example, if you are sending a memo to "Full-Time Faculty, Staff, and Administration," make sure the memo is addressed to that group. Please be sure to designate "Full-Time," "Part-Time," or "Full and Part-Time." This will assist Mail Services in distributing your memo to the proper group. When sending memos to Mail Services, please place a note on the top of the bundle stating to whom the memos are to be directed. If you are not sure of the quantity to send for a group, please contact Mail Services for assistance.
PERSONAL MAIL
Usage of the York College mail service for outgoing and incoming personal mail should be avoided or kept to an absolute minimum, as this will overload the mail system. Those sending personal mail will need to attach the proper postage, or the mail will be returned. Do not list York College as a return address for personal mail, and do not use York College envelopes for sending personal mail. For your convenience, a stamp machine has been installed outside Mail Services (located in the Bookstore). Mail Services will no longer be accepting "postage due" for personal mail.
