for Creating Effective Documents
Content
- Think about what information to use. Be selective.
- Organize the material into its main points.
- Proofread and edit your document. Make sure all data is accurate.
Continuity
- All pages in a document must have the same elements (e.g., font, line spacing, margins, etc).
- Changing design or style from one page to another can cause a jarring effect upon the readers.
Text size and Font
- Readability is the key.
- Make the size or point type large enough to read.
- Use one font per document.
- Use a plain, easy to read font. Times New Roman, Helvetica, Univers, & Arial are recommended.
- Sans serif fonts (those wihtout the little
lines at the end of the letters) are generally easier to read on visual aids.
Text style
- Use italic type only for titles.
- Never underline text. On Web pages, text hyperlinks are automatically underlined, so underlining any other text causes confusion.
- Avoid using all CAPS. You are not screaming at your audience.
- Use a boldface type or a different color type or to indicate emphasis. But if it is overused, it can lose its impact.
